At Moving Wheels Car Rental, we understand that plans can change unexpectedly. Our cancellation policy is designed to be fair and transparent, providing flexibility while ensuring that both parties are treated equitably. Please review the details below regarding cancellations, modifications, and refunds.

1. Free Cancellation Period

• No Charges for Cancellations Made 24 Hours in Advance: If you need to cancel your reservation, you can do so free of charge if the cancellation is made at least 24 hours before the scheduled pickup time.

2. Cancellation Within 24 Hours

• Late Cancellations (Less Than 24 Hours Before Pickup): If you cancel your booking within 24 hours of the scheduled pickup time, a cancellation fee of 20% of the total rental amount will be charged. This helps cover costs incurred by preparing the vehicle for your rental.

3. No-Show Policy

• No-Show without Notification: If you fail to pick up the vehicle within 2 hours of the scheduled pickup time without prior notification, the booking will be considered a “no-show” and will be automatically canceled. In such cases, no refund will be provided, and the full rental amount will be charged.

4. Modifications to Reservation

• Changes to Booking Dates or Times: We allow you to modify your reservation without incurring any fees, provided the changes are made at least 24 hours before the original pickup time and are subject to vehicle availability.
• Extension of Rental Period: If you wish to extend the rental period, please contact us as early as possible. Extensions are subject to vehicle availability and may result in additional charges based on the extended rental duration.

5. Refund Process

• Full Refund Eligibility: Cancellations made at least 24 hours before the scheduled rental time are eligible for a full refund.
• Partial Refunds: For cancellations made within 24 hours of the pickup time, a refund of 80% of the total rental amount will be provided, with the remaining 20% being charged as a cancellation fee.
• Processing Time: Refunds will be processed within 7-10 business days of the cancellation date and will be credited to the original payment method.

6. Cancellation Due to Vehicle Unavailability

• In the rare case that Moving Wheels is unable to provide the vehicle you reserved due to unforeseen circumstances, we will either:
  • Offer a replacement vehicle of similar or higher class at no additional cost, or
  • Provide a full refund of any payments made if a suitable replacement cannot be provided.

7. Special Circumstances

• Force Majeure: If cancellations are due to unavoidable circumstances such as natural disasters, government restrictions, or other emergencies beyond our control, Moving Wheels will work with you to provide a fair resolution, which may include waiving cancellation fees or offering future rental credits.
